Information We Collect
SimplVoice collects information you provide directly, such as your name, email address, organization name, and role when you book a demo, submit a contact form, or create an account. We also collect usage data to improve the product experience, including pages visited, features used, and general interaction patterns.
How We Use Your Information
We use your information to provide and improve SimplVoice services, respond to inquiries, process demo requests, send relevant product updates (with your consent), and maintain the security of our platform. We do not sell your personal information to third parties.
Data Handling and AI Processing
Conversation data processed through SimplVoice is handled according to your organization's configuration and governance settings. Outputs are generated using your Business Brain context and assigned agent workflows. SimplVoice does not use your organization's conversation data to train general-purpose AI models. All processing follows the guardrails and escalation logic defined in your workflow configuration.
Data Storage and Security
We implement industry-standard security measures to protect your data, including encryption in transit and at rest, access controls, and regular security reviews. For details on our security practices, visit our Security page.
Your Rights and Choices

Cookies and Tracking
SimplVoice uses essential cookies to maintain your session and preferences. We use analytics tools to understand how the product is used and to improve the experience. You can manage cookie preferences through your browser settings.
Third-Party Services
SimplVoice may integrate with third-party services as part of your workflow configuration. Each integration is subject to its own privacy policy. We only share data with third parties as necessary to provide the services you have configured.
SimplVoice Notetaker Chrome Extension
The SimplVoice Notetaker extension takes notes in Google Meet calls. It only records when you start it, and a visible recording indicator stays on screen until you stop. While recording, it captures the meeting tab's audio and, if you allow it, your microphone. The audio is uploaded to your organization's private storage and processed in the same way as recordings made in the SimplVoice dashboard: it is transcribed, summarized by your organization's configured agent, and saved as a conversation in your SimplVoice account.
Along with the recording, the extension sends the meeting's title, its link, the names of participants shown in the call (used to label speakers in the transcript), and any notes you type in the side panel. When the side panel is open during a recording, audio is also streamed to our transcription provider to show a live transcript. Live captions are not stored separately.
The extension does not read or collect your browsing activity. It runs only on Google Meet pages and talks only to SimplVoice and the services listed here. Sign-in tokens are kept in the extension's local storage on your device and are removed when you sign out. You can delete a meeting from the extension or the dashboard at any time.
You are responsible for telling meeting participants that the meeting is being recorded and for obtaining any consent required by the laws that apply to you and to them.
Google User Data
If you choose to connect Google Calendar in the Notetaker extension, it requests read-only access to your calendar (the calendar.readonly scope) through Chrome's built-in Google sign-in. The extension uses this access only to show your upcoming Google Meet meetings, remind you before they start, and title meetings you record. Calendar data is read within your browser. Only the title and attendee names of a meeting you choose to record are sent to SimplVoice, where they are used to title the notes and name the speakers. Google access tokens are managed by Chrome and are never sent to SimplVoice servers.
We do not sell Google user data. We do not use it for advertising, and we do not use it to train AI models. People do not read it except with your permission, for security purposes, or where the law requires. SimplVoice's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. You can disconnect Google Calendar at any time from the extension, or revoke access at https://myaccount.google.com/permissions.
Service Providers
To run SimplVoice we use a small number of service providers that process data on our behalf, under agreements that restrict them to providing their service. They are: Supabase (database, authentication and file storage), Vercel (application hosting), n8n (workflow processing), ElevenLabs (speech-to-text transcription), and our AI model providers (summaries and structured notes).
Changes to This Policy
We may update this privacy policy from time to time. We will notify you of significant changes by posting a notice on our website or sending you an email. Your continued use of SimplVoice after changes take effect constitutes acceptance of the updated policy.
